3. Receive confirmation
Once the quote is confirmed, we will send you the rental summary with payment, deposit, pickup and return details.

4. Fill out the Rental Form
Fill out the Rental Form with the details needed for the contract and any pickup authorization.

5. Pick up at our location
The day before production, from 5:00 PM onwards, come to Via Capo di Lucca, 12 – 40126 Bologna:
• sign the delivery note and contract
• load the equipment

6. Enjoy your production
We remain available for anything you need.

Remember that you can pick up from 5:00 PM the day before and return by 11:00 AM the day after at no additional cost. Pickup and return are understood to be at Maya Rent's premises in Bologna.

1. The prices indicated are for the rental of a single day, unless otherwise specified in the quotation, product page, or written agreement between the parties.

2. The rental period begins when the equipment is delivered and ends on the agreed return date and time. Early return of the equipment does not entitle the Customer to any refund or reduction of the rental fee, unless otherwise agreed in writing.

3. The equipment must be collected from and returned to Maya Rent’s operating premises in Bologna, unless otherwise agreed in writing. Where transport is arranged directly by the Customer through a courier, carrier, or other appointed third party, the related costs and risks of transport, loading, unloading, storage, loss, or damage shall be borne by the Customer, except where responsibility is attributable to Maya Rent. Where the Customer qualifies as a consumer, any mandatory provisions of applicable law shall remain unaffected.

4. The booking shall be considered confirmed upon acceptance of the quotation, execution of the Standard Rental Agreement, payment of all or part of the rental fee or security deposit, or any other written confirmation provided by the Customer. Before releasing the equipment, Maya Rent may require the Customer to sign the Standard Rental Agreement and any applicable attachments concerning the equipment, declared values, security deposit, insurance, delivery, and return.

5. The rental fee must be paid before or at the time of collection of the equipment, unless otherwise agreed in writing. In the event of non-payment or late payment, including amounts relating to previous rentals, Maya Rent may suspend delivery of the equipment or refuse further rentals until all outstanding amounts have been paid in full.

6. The Customer may cancel the rental only by written notice. For rentals with a total rental fee of less than €1,000.00, cancellation is free of charge if notice is received at least 48 hours before the scheduled collection or delivery; where cancellation is made with less than 48 hours’ but at least 24 hours’ notice, a cancellation fee equal to 50% of the total rental fee shall apply; where cancellation is made with less than 24 hours’ notice, or in the event of failure to collect the equipment, a cancellation fee equal to 100% of the total rental fee shall apply. For rentals with a total rental fee of €1,000.00 or more, cancellation is free of charge only if notice is received more than 7 days before the scheduled collection or delivery; where cancellation is made within 7 days and up to 3 days before the scheduled collection or delivery, a cancellation fee equal to 50% of the total rental fee shall apply; where cancellation is made within the 3 days preceding the scheduled collection or delivery, or in the event of failure to collect the equipment, a cancellation fee equal to 100% of the total rental fee shall apply. The security deposit is not included in the calculation of the cancellation fee, and any excess amount already paid shall be refunded to the Customer, subject to any other amounts owed. Maya Rent reserves the right to claim compensation for any additional documented loss.

7. Before or at the time of delivery of the equipment, the Customer is required to pay a security deposit in the amount specified in the quotation, order, or contractual documentation. Unless a different amount is agreed in writing, the Standard Rental Agreement provides for a security deposit equal to 30% of the total value of the rented equipment. The security deposit secures rental fees, penalties, damage, missing items, late returns, expenses, and any other amounts owed by the Customer.

8. The security deposit shall be returned after the equipment has been returned and all inspections have been completed, less any amounts due for damage, faults, missing items, late returns, penalties, or unpaid balances. Maya Rent may carry out functional and condition inspections within 48 working hours of the return. Signature of the return document does not prevent Maya Rent from subsequently raising claims in relation to damage, faults, or missing items that could not reasonably have been identified immediately.

9. The Customer is responsible for the equipment from the time of delivery until its return has been accepted by Maya Rent. Subject to the provisions of the Standard Rental Agreement and applicable law, the Customer shall be responsible for damage, breakage, theft, robbery, loss, fire, destruction, or failure to return accessories, cables, batteries, power supplies, cases, packaging, adapters, filters, supports, or any other components supplied with the equipment.

10. The equipment must be used correctly, in accordance with the manufacturer’s instructions, applicable technical and safety regulations, and by suitably competent personnel. The Customer may not open, tamper with, modify, dismantle, repair, or arrange for the repair of the equipment without Maya Rent’s prior written authorization. In the event of a fault or malfunction, the Customer must immediately discontinue use of the equipment and notify Maya Rent.

11. The Customer may not sub-rent, transfer, lend, or otherwise make the rented equipment available to third parties without Maya Rent’s prior written authorization. The equipment must be kept with particular care and must not be left unattended in vehicles parked on public roads or in areas accessible to the public, except for the time strictly necessary for loading and unloading operations. Use of the equipment in particularly hazardous conditions, including rain, snow, sand, water, sea environments, smoke, fire, special effects, vehicle-mounted filming, drones, boats, cranes, or other special configurations, requires Maya Rent’s prior written authorization.

12. Where the replacement-as-new value of the equipment exceeds €5,000.00, “All Risks” insurance coverage for the benefit of Maya Rent is mandatory and is a condition for release of the equipment. For values up to €5,000.00, coverage is optional but strongly recommended. Coverage may be arranged through Maya Rent’s insurance policy, where applicable, or through the Customer’s own insurance policy, provided that it complies with the requirements set out in the Standard Rental Agreement. Insurance premiums, deductibles, excesses, and any uninsured amounts shall remain the Customer’s responsibility in accordance with the Rental Agreement.

13. In the event of late return, the Customer shall pay, for each day or part of a day of delay, the agreed daily rental fee plus a penalty equal to 50% of the daily rental fee, subject to a minimum charge of €100.00 for each day or part of a day of delay, without prejudice to Maya Rent’s right to claim compensation for any additional documented loss. In the event of damage, theft, loss, non-payment, improper use, or breach of the rental conditions, Maya Rent may retain all or part of the security deposit, claim payment of any amounts due and, where provided for under the Rental Agreement, terminate the contractual relationship. The Rental Agreement is governed by Italian law. In business-to-business relationships, the Court of Bologna shall have jurisdiction; where the Customer qualifies as a consumer, any mandatory jurisdiction provided by applicable law shall remain unaffected.

PREAMBLE AND ACCEPTANCE OF THE RENTAL AGREEMENT
These Terms and Conditions provide an operational summary of the principal conditions applicable to the rental and do not replace Maya Rent’s Standard Rental Agreement, which governs the contractual relationship between the parties in full. A booking may be confirmed through acceptance of the quotation, execution of the Standard Rental Agreement, payment of all or part of the rental fee or security deposit, or any other written confirmation. Before releasing the equipment, Maya Rent may require execution of the Standard Rental Agreement and its applicable attachments. The Customer is responsible for reviewing these Terms and Conditions and the contractual documentation made available to them. In the event of any conflict between this summary and the Standard Rental Agreement executed by the parties, the provisions of the Standard Rental Agreement shall prevail, unless otherwise agreed in writing and without prejudice to any mandatory provisions of applicable law, particularly those protecting consumers.

Where can I find the contract I will sign for the rental?

Is a deposit required?

Yes: at handover you pay a security deposit of 30% of the total equipment value, unless a different amount is agreed in writing. It is refunded within 5 working days of completing the return check, minus any amounts due. In case of damage or missing items it may be held until the amount owed has been determined.

I've never used certain equipment. Can I try them?

Call us at 051 1947-0273, and we will help you choose the most suitable equipment to achieve your goal, considering compatibility and budget.

I am a current student. Am I eligible for discounts?

Yes! 10% for audiovisual students. Send your student ID and a document to info@mayarent.com

Can I add items at the time of pickup?

Yes, if available. However, we recommend placing a new order or replying to your confirmation specifying what you'd like to add.

I am a minor, can I rent?

Only if the contract is in the name of a parent/guardian. A signed authorization form is also required on site.

My set is for one day but it's far from Bologna. Do I pay for more days?

Yes, all days the equipment is in use are counted, including for travel.

Can I cancel a confirmed rental?

Yes, by written notice only. For rentals under 1,000 euros: free of charge up to 48 hours before pickup or delivery; between 48 and 24 hours before, 50% of the rental fee is withheld; with less than 24 hours' notice, or no notice, 100%. For rentals of 1,000 euros or more: free of charge more than 7 days before; between 7 and 3 days before, 50% is withheld; in the last 3 days, or with no notice, 100%.

Is insurance included?

No, insurance is not included in the rental price. It is mandatory when the replacement-as-new value of the equipment exceeds 5,000 euros: you can activate All Risks cover under Maya Rent's Chubb policy (premium 0.198% of the insured value for Italy/EU or 0.396% for non-EU countries, per 10-day period or part thereof, plus taxes, with a minimum of 10 euros per project) or provide your own policy accepted by Maya Rent. Below 5,000 euros it is optional, unless Maya Rent requests it. The policy only covers direct physical damage to the equipment, with excesses and deductibles: in any case you remain responsible for damage and theft.
